Aderant integration: what's in the box, and when to bring in Alterspective
Clio Operate ships an Aderant Integration plugin, and for one scenario it is a sensible choice. This page sets out what the plugin provides, where Clio's own documentation says it ends, and the point at which an engagement needs the Alterspective PMS Sync platform, so that conversation happens before the project plan is written rather than after.
The short version
- Clio Operate does ship an Aderant Integration plugin. It works, and for one scenario it is a sensible choice: Operate drives the workflow and Aderant sits underneath as the finance system, with only the mandatory fields in play.
- Clio's own documentation treats the plugin as a starting point rather than a finished integration. Time entry is still in development, there is no screen for watching the sync, detailed failure logging is not yet built in, and bespoke requirements are referred to “your Operate implementation partner”.
- That partner work is what Alterspective has already built. PMS Sync covers what a production integration actually needs: search across Aderant without API licence fees on the read side, imports with preview and audit, monitoring, reconciliation and extended fields.
The two routes, side by side
The plugin talks to Aderant through Aderant's APIs, which means per-module licence fees and no way to search or list records. PMS Sync reads directly from the Aderant database through a read-only on-premises agent, and every write passes through preview, an explicit write gate, and a full audit trail.
What the plugin provides out of the box
| Capability | In the box |
|---|---|
| Workflow actions | Clients (create/update/retrieve), matters (create/update/retrieve/set status), parties (create and link persons/organisations) |
| Time entry actions | Validate, create, update, approve, release and cancel. Clio flags these as “currently in development” |
| Scheduled sync | Pull of new/updated clients from Aderant into Operate; sync of Aderant user accounts |
| Balances | “Get Balances (Full)” and “Get WIP Balance” actions; Lite widget (10 fields) and Full widget (~40 fields) |
| Mechanism | Aderant's APIs and Framework Query Service (each licensed Aderant API module carries its own annual fee) |
Where the box ends
These are direct quotes from Clio's documentation for the plugin:
“If Clio Operate drives the workflow and Aderant is used primarily as a financial ledger, the out-of-the-box capabilities described here are generally sufficient.”
“If Aderant is to be the source of truth, the implementation will require closer scoping.”
“Time entry functionality is currently in development. Please confirm availability before including in project scope.”
“No built-in user interface for monitoring synchronisation status or surfacing issues” … “Detailed logging for synchronisation failures is not yet built in to the OOTB solution.”
“Fields beyond the mandatory minimum require bespoke configuration via JSON endpoints or the proxy.”
“For bespoke requirements, API reference documentation, or implementation guidance, please contact your Operate implementation partner.”

What Alterspective PMS Sync provides
The platform behind this site is in production as of July 2026. The original proof of concept, a unified search across Operate and Aderant, was validated with an Australian law firm in January 2026.
| Capability | Why it matters |
|---|---|
| Search and list across Aderant | Aderant's supported API cannot search or list records: every read needs a known record ID, and the Query Service that Aderant suggests instead is unofficial and undocumented. Our direct-database layer searches clients and matters by name or code, with no Aderant API licence fees for reading and searching (each licensed Aderant API module costs around $15,000 a year). Results come straight from the live database rather than a scheduled copy |
| Conflict searching (roadmap) | On our roadmap: a phonetic search across Aderant clients, parties and law firms, which is the lookup a conflict-of-interest check needs at intake. Already in place today: every import captures opposing parties with their roles, so the firm's conflict process works from structured data instead of rekeyed names. PMS Sync feeds the conflict process; it does not run the conflict check itself |
| Unified search | One search across Operate and Aderant, deduplicated and badged by source, was validated in the January 2026 proof of concept. In the platform today, Aderant search flags matters already imported and links straight to their Operate work item |
| Governed write operations | Imports create the matter, its client and its participants in Clio Operate; re-sync updates them in place; closure reconciliation closes Operate work items whose Aderant matter has closed. A live check against Clio Operate looks for an existing match before importing and links to it instead of creating a duplicate when one is found. Every write goes through a preview and mapping step, an explicit write gate, and a full audit trail. Nothing writes to a live system as a side effect |
| Writing back to Aderant (roadmap) | Already built: workflow actions that create and update Aderant clients, matters and parties through Aderant's own licensed REST API, the same route Aderant itself provides (not a database write). On our roadmap: an explicit write gate, a preview step, and a full audit trail for this path, matching the protections every other write on this platform already goes through |
| Monitored proxy | Every hop of the integration is observable: live health and topology across Operate's cloud, the Alterspective proxy and your on-premises estate, with per-hop latency and a live map of exactly which hop a problem is in. An on-demand round-trip self-test pulls the same matter from the database and from Aderant's own API and confirms they agree, which proves the sync is accurate rather than just reachable. Correlation IDs follow every request end to end across all four ways we talk to Aderant, so one ID finds the whole story in the logs. Transaction and error logs are surfaced with widgets inside Operate, and audit events stream to your SIEM when a webhook is configured |
| Real-time alerting | Teams alerts, and optionally an auto-created Sharedo ticket, when something needs attention. Built and ready, switched on as a deployment setting |
| Reconciliation | Finds and closes Operate work items whose Aderant matter has closed, either on demand with a dry run first or on a schedule. Field-level drift is handled by re-sync, which previews every change before anything is applied |
| Diagnosing a failed import | A failed import isn't a dead end: the detail view re-fetches the current state of the matter from both Aderant and Clio Operate live, side by side, so support sees what is true right now instead of a frozen error message. If the cause looks like a field-mapping problem, it links straight to the fix |
| Extended fields | The “bespoke configuration” Clio refers out to a partner, delivered as configuration on our platform rather than a one-off build. The on-premises agent discovers database views and fields automatically at startup, so extending coverage is configuration and an agent restart, not a code release |
| Embedded in Clio Operate | The import portal runs inside Clio Operate with real single sign-on: a signed, short-lived token that refreshes itself before it expires and is used once per session. There is no shared login and no static credential. Staff import and re-sync matters without leaving their workspace |
| AI-ready surfaces | Secure, permission-scoped endpoints that let AI assistants query and act on practice data safely, with reads and writes gated by the same rules as the portal |
When to bring in Alterspective
The plugin on its own may be enough when all four of Clio's own conditions hold. The moment any of them fails, the engagement is in implementation-partner territory, which is exactly what PMS Sync productises.
Bring us in when any of these show up:
- Aderant is the source of truth, or shares it. Clio says this “will require closer scoping”. That scoping work is what we do.
- People need to find things. Searching or listing clients, matters or parties in Aderant, whether for migration, intake, conflict checks or day-to-day lookup.
- Someone asks how you know the sync worked. Monitoring, audit, import history and reconciliation.
- You need more than the mandatory fields. Extended or firm-specific data mapping.
- Time capture is in scope. The plugin's time entry actions are still in development, so confirm availability with Clio before anything is promised.
- API licence costs are being questioned. Our read path removes the annual per-API licence for search and read. Writing into Aderant still uses Aderant's licensed APIs, whichever route you choose.
The plugin covers moving records between the two systems. Operating the integration (finding records, watching the sync, auditing writes) is where Alterspective comes in.
When the client's question changes from “can it connect?” to “can we rely on it?”, bring us in.
